Essential Responsibilities:


1. Provides staff support in Medical Affairs, Offices of the SVP/CMO, VP, and Chief of Staff, including calendar management, scheduling/coordinating meetings, catering orders, and preparing meeting handouts.
2. Provides administrative support for Medical Director and Manager of Patient Safety, including scheduling/coordinating of meetings, invoice processing, travel arrangements, reimbursements, screening/prioritizing incoming phone calls.
3. Provides staff support to Patient Safety program, including safety star program & distribution of weekly harm report.
4. Prepares check requests, purchase orders, and processes expense reimbursements as needed.
5. Works in cooperation with other assistants to cover main telephone line for the department.
6. Serves as department Safety Rep, SDAN/Lawson, and Kronos editor.
7. Performs other administrative duties, miscellaneous projects and tasks as assigned.

 

Experience :

 

• Two to three years progressively responsible office and administrative experience, such experience demonstrating ability to independently establish administrative and office procedures; ability to identify problems and resourcefulness to resolve them independently and on own initiative
• Demonstrated leadership ability to establish intradepartmental administrative systems and achieve orderly, accurate and timely work flow from underlying offices and units.
• Demonstrated ability to compose letters, policy statements, procedure manuals and reports on own initiative; ability to organize complex statistical and narrative reports, charts and exhibits into a complete document suitable for publication and distribution.
• Ability to type proficiently (60-75 WPM). Ability to edit material and ensure correct punctuation, spelling and grammar. Ability to perform simple mathematical calculations.
• Must possess a minimum computer competency comprised of a working knowledge of Windows or comparable system (specifically including keyboarding and mouse skills). Must additionally possess a working knowledge of word processing, spreadsheets, presentation development, E-mail, browsers and on-line reporting.
• Knowledge and understanding of the organization, functions, policies and procedures of the Department, and the inter­ relationship with the larger Cedars-Sinai Health System, and the ability to apply the knowledge to the work of the office.
• Experience demonstrating the ability to handle multiple tasks frequently with short time-lines, to prioritize and organize work, and to complete assignments in a timely, accurate manner.
• Ability to interact effectively with Directors, Managers, patients, internal staff and representatives of public agencies and businesses.
• Or a comparable level of education, training and experience.

 

Educational Requirements:

Two years college with courses in business, accounting, computer operation and applications.

 

Physical Demands:

Ability to sit for long periods of time, use the computer, answer the phone. Ability to push, pull, lift and carry without restrictions.
